Project Description

Our project aims to create an internally distributed web-based Enterprise Management System (EMS) for our client, SSH Motor Trading. The system will include key modules like inventory management module, order management module, customer management module and analytics module. The X factor of our team lies in the analytical aspect of the system. In addition, our team will like to implement part of our project using the statistical programming language R. We will document our experience with R and bring value to the IS480 community.

Project Proposal

Motivation

The main motivation of doing this project is to implement an IT solution that would help in generating higher profits, removing inefficiencies and creating better customer experience for our client’s motor trading business.

Stakeholders

Client - Jonathan is the marketing manager of SSH Motor Trading. With the support from the senior management of the firm, he seeks to eliminate existing inefficiencies in their business process by harnessing the power of Information Technology.

Functional Requirements

Modules Description Functionalities
Identity/Role Management Description: This module allows super user/admin to manage access control element of the application. In particular, user roles can be created with specific assignment of privileges
  • Super User is to be created with all access rights
  • Super User is able to CRUD Identities
  • Super User is able to assign identities to roles (Sales Staff, Inventory Staff)
  • Super Users is able to grant privileges to roles
Inventory Management Description: This module enables the proper management of the mass amount of inventory the company currently holds. It allows easy searching, adding and deleting of inventory holdings. It will be designed to be integrated with order management such that there is automation in inventory updates when orders are fulfilled.
  • Super User is able to CRUD inventory items
  • Warehouse Staff is able to CRU inventory items
  • Every CUD transaction will be logged
  • Inventory items include information on type, quantity, location, cost price (cannot be seen by warehouse guy), and selling price of car part
  • Inventory items will be categorized according to brand, model, date of entry and price range
  • A filter function will be built within IMM to facilitate easy retrieval of records
  • Filter function will allow searching parts by car brand, part type and price range
  • Inventory will be updated real time whenever there are changes
Order Management Description: The order management module is the key module which helps the company to manage all its transactions. It will be integrated with inventory management module to ensure real time reconciliation of inventory holdings. Key functions include generation and tracking of orders. It will also contain pre-order enquiry function for sales representative to inform prospects of prices.

  • Sales Staff is able to CRU Orders
  • Warehouse staff is able to read all Orders
  • Order Management displays all current orders and allows order to be made by sales staff by entering order details (validation will be done)
  • Order Management is able to generate delivery order and invoice (upon completion of order form)
  • Order Management will have order tracking (current status of order) and report generation function
  • Warehouse Staff will make use of orders information in order to know what to prepare for delivery
  • A pre-order enquiry function will allow users to check prices and other product details
Customer Management Description: The customer management module is the tools which will help the company manage its database of prospects and clients. It will contain clients’ past transaction, frequency of transactions and value of transactions for analytics and decision making purposes. In addition, user will also be able to manage prospects details. Some information will automatically be derived from Order Management Module (example, a new transaction added to client A after he confirms an order)
  • Super User is able to CRUD Customer information
  • Sales Staff is able to CRU customers information
  • CMM will be to generate all customer details - personal information, transaction history, payment status, credit history, credit rating
  • CMM will be able to list prospective customer details, their enquiries on parts / model / brand, and their quotations for parts / model / brand etc.
  • Super user and sales staff will search and update customers’ information (both prospective and current) based on their name / company / parts ordered / model enquired, ordered / brand enquired, ordered etc.
Analytics Description: Our analytics module is split into 3 main components. Namely, warehouse space optimization, Price recommendation and Customer Behavioral Analysis. The purpose of analytics is to assist management in making key decisions in warehouse management, inventory management and pricing.
  • Warehouse Space optimization - Study the behaviour of which when and how often cars are decided to be scraped for their parts. This study will allow the client to better plan required space when cars are scrap.Together with Orders, the rate and period of the year of which what inventory item leaves the warehouse will allow the client to know the market demand for certain cars and their parts. This will allow client to optimise space by shifting away “off-peak” inventory.

  • Price Recommendation - Using Break-Even percentage method, the system will automatically calculate the break-even selling price for individual car parts whenever there is an enquiry for the price. The variables required to calculate the break-even selling price (e.g. Total net income, total sales, total variable expenses and sales mix) for each item will be based on the year’s targets. Super user will be able to configure the variables at any point in time and the figures will be adjusted accordingly.

  • Customer Behavioural Analysis - Study the trend of which when customers patronize our client. The analytic module of the system will make use of R programming in order to compute statistical calculation such as correlation of customer's buy across time of year and to perform trend analysis such as forthcoming expected sales, etc. We plan to provide client with visual representation (graph / chart) of the calculation and modeling done with R programming. The analytic reporting will come in either a monthly or yearly basis. The team also aims to study the buy through rate of customers whom enquired about client's stocks.


We hope that by moving towards integrating Information Technology into the company will not only improve operation efficiency and effectiveness but also allow the company to have proper keeping of data. These data will enable the analytic analysis to be more precise as time progress giving the company a greater edge against it's competitors
